Pro: Request Evidence

As an owner of a case, you are able to send a temporary request link to anyone outside of Guardify who is not set up as a Guardify user in your account. When that person does upload files to your case, you will be notified in-app that there is new evidence available for you to review and approve for use in that case.


To send an evidence request, log into Guardify and go to the "Cases" tab and open the case that you would like to request evidence for, then click the "Requested Evidence" tab.

From the requested evidence tab, you can see any evidence that has already been requested or uploaded, as well as request additional evidence. To request new evidence, click "New Request" on the right.

For External Users

A "Request Evidence" prompt window will appear with a form to fill out for the evidence that you'd like to request. By default, the "External" radio button will be marked for those that would like to request evidence from a person that does not have a Guardify account, All required fields are marked with a red asterisk. Fill out the evidence request form, and then click send.


Once you have clicked send, you will see the request listed in your "Requested Evidence" tab with the details for the request listed. Clicking the 3-dot menu to the right of the request will allow you to edit any of the request details, resend the request, or revoke the request to the request link that was sent.

The person who you have requested the evidence from will receive an email from "no-reply@mail.guardify.com" that says "Request to upload evidence" with a link inside to upload files.

Clicking "Upload Evidence" will bring that person, and anyone that they forward that email to, to an "Upload Requested Evidence" page where they can fill out evidence details and select the files they want to upload.

Once they upload the evidence, you will receive a notification in Guardify in the bell notifications icon at the top right of the screen that new evidence has been uploaded to your case. Clicking "View this case" will take you directly to the case where the evidence was uploaded.

Once you are in the case, you can click the "Requested Evidence" tab to review the evidence that was uploaded. There you will see a list of all of your evidence requests. To review the files that were uploaded for each request, click the drop-down arrow to the left of the request to see a list of all uploaded evidence.

Each file will have the option to preview, "pull" the file into the case if you want to keep the file, or you can click the trash can icon to delete the file. Click the check boxes to the left of each file will allow you to pull or delete multiple files at once.

For Existing Users:

A "Request Evidence" prompt window will appear with a form to fill out for the evidence that you'd like to request. Select the "Existing user" radio button to request evidence from a Guardify user. All required fields are marked with a red asterisk. Fill out the evidence request form, and then click send.

Once you have clicked send, you will see the request listed in your "Requested Evidence" tab with the details for the request listed. Clicking the 3-dot menu to the right of the request will allow you to edit any of the request details, resend the request, or cancel the request to the request link that was sent.

The person who you have requested the evidence from will receive an email from "no-reply@mail.guardify.com" that says "Request to upload evidence" with a link inside to upload files.

Clicking "Upload Evidence" will bring that person to their log in screen. Once that user logs in, their "Requests" will appear under the "Messages" tab.

Clicking "Upload Evidence" will take that user to the "Upload Requested Evidence" page where they can fill out package details and select the files they want to upload.

After the files have been uploaded, the person that received the request to upload evidence will be sent back to their "Messages" page. A "You can still upload more evidence if needed" message will appear to upload additional documents.

If the person that received the request to upload evidence declines the request, they can provide a reason and confirm the decline.

Note: The person that received the request will have the opportunity to upload documents via the link in the request.

Once they upload the evidence, you will receive a notification in Guardify in the bell notifications icon at the top right of the screen that new evidence has been uploaded to your case. Clicking "View this case" will take you directly to the case where the evidence was uploaded.

FAQ:

How long do people have to upload evidence after it has been requested?

The date that you set for the "Link Expiration Date" is the last date that someone will be able to access that link and upload evidence. If the link is accessed after the expiration date, they will be notified that their link is expired and then be redirected to the login screen.

Is there a limit to how many files can be uploaded when evidence is requested?

No, anyone who receives a link for requested evidence will be able to upload as many files as needed.


Is this a secure link for the specific user that I request the evidence from?

While the link does keep the evidence secure an unable to be accessed by anyone outside of the prosecution office that requested it, this link CAN be forwarded on to anyone. If the person who receives the link from you forwards it to someone else in their company, all parties will be able to upload files to that case for you to review. It is not a private link.
