Auto-archiving

All interviews in Guardify will automatically be archived after 90 days of inactivity. "Inactivity" means that the interview has not been shared or transferred within 90 days, and nobody has clicked on that interview to access or view it within that span of time. If an interview is interacted with at any given time, the 90-day time frame restarts.

How will I know which interviews are about to be auto-archived?

Seven days before an interview is scheduled to be auto-archived, it will show an “Archiving Soon” status.  This status is visible only to the custodian of the interview, or to users who can access the interview via the CAC Interviews tab.

How do I stop an interview from auto-archiving?

An interview will only auto-archive if it has not been accessed within a 90-day period. If an interview shows an "Archiving Soon" status, simply click on the interview to access it. This will effectively reset the auto-archiving clock, as well as immediately clear the "Archiving Soon" status.

The custodian of an interview can also mark a case to be excluded from being auto-archived in the future. This can be done by opening the interview, and clicking the 3-dot menu to the right of the "edit" button.

In that menu will be an "auto-archive" toggle. Toggle this off to exclude the case from being auto-archived.

Will interviews auto-archive if there are still active shares for the interview?

Yes. When an interview is auto-archived, any shares on that interview will remain active, and those users will be able to choose to restore those interviews if they need to access them again once they have been archived.

Note: Manually archived interviews will still require a custodian to restore the interview.


Can I see a list of all of my interviews that are scheduled to auto-archive?

From the Guardify Dashboard, Manager users can see an "Interviews" drop down card at the bottom left of the dashboard.

Expanding this card  will show additional details about your total interviews, including an "inactive interviews" total.

Users who have access to the summary report can click on "inactive interviews" to be taken to the Summary Report with the “Archiving Soon” filter applied to be able to review all "archiving soon" interviews.
