LE: Sharing Permissions

When you share a case in Guardify, each individual feature of the case is sharable on a per-user basis. You can choose which features to share each time you share a case.

To do this, click share at the top right corner of the case:

And then click "Add" at the top right of the Share Access screen that appears. The "Add Shared Access" box will pop up where you can choose the user that you would like to share this case with. 

Click "Add", and this user will be added to the share access list, where you can decide what this new user has access to on this case:

Each check box shown is an individual permission for that case that you are sharing. You can choose one or all of these permissions to give a user access to. 

Access Starts and Access Expires dates will determine how long this user has access to the case. Their access will begin on the Access Starts date, and their access will end on the Access Expires date.

Receipt is a digital receipt that the user will see each time they click in to view the case. This receipt can include a summary of the evidence that you are providing them. You can edit this summary by clicking the edit box. A pop up will appear for you to add evidence details to this receipt:

Admin allows you to click all the permissions at once.

Upload will give the user the ability to upload additional attachments to the case.

Preview will allow you to preview what the user will see once the case is shared with them.

Status: Shows you a color coded access status for each share.

Scheduled: the share has been scheduled but not yet sent.

Opened: the case was opened by the recipient.

Unopened: the case was sent but has not been opened.

Expired: the case share has been revoked.

Download: If checked, “encrypted” download access is given by default. If a drop down box is available, you have the option of giving access to download encrypted or original download access. The "original" option gives access to both.
Reminders: Sends a reminder email to the user every few days to let them know a case has been shared with them. Reminders stop after the case is opened for the first time. Import: The user can import their own copy of the case into another Guardify license. If they do not have access to another Guardify license, the import option will not be available.
Evidence Receipt: Is a digital receipt that the user will see each time they click in to view the case. This receipt can include a summary of the evidence that you are providing them. You can edit this summary by clicking the edit box. A pop up will appear for you to add evidence details to this receipt Files: You choose which attachments (videos, audios, and/or documents) to share with that user.
History: Is the full list of actions and activity for that case since it has been uploaded into Guardify. Any shares, views, or additions to the evidence will be logged in this history. CC Me: Sends you (the sharer) a copy of the email notification that this user receives when the case is shared with them, so that you can forward the email to the user if they say they did not receive the notification.
Tags: Will include any public tags that have been saved on the videos in that case, as well as give the user the ability to add their own private or public tags.  Resend: clicking the arrow to the far right will resend that user their notification email.

Transcript: “View” gives the user the ability to view the closed captioning for the video and audio files, which includes the original transcript generated for the video and audio files.

Clicking the drop down box and changing their access to “Edit” gives the user the ability to view the transcript, as well as edit their own draft of the original generated transcript.

Revoke: clicking the minus sign to the far right will revoke that user's access to the case.
