Pro: Summary Report
The summary report is a concise report of all of the cases that have been uploaded to your Guardify License, which allows account managers to see a full list of all cases, regardless of who has ownership. This list can be customized to view specific information, and can be exported out of Guardify to save for your records.
The Summary Report feature can be accessed by clicking "Summary Report" in the left-hand menu, and can only be turned on by the License Manager in the User Permissions for users with the “Manager” role.
The headers of each column in the summary report can be clicked to sort the cases by that specific statistic.
To filter the cases by a specific field, click the “Filter by” button in the top left of the screen, and choose which field you’d like to filter the report by.
You can also view any archived cases in this list by selecting "Case Status" and clicking the "Archived" radio button.
To filter the cases by Prosecutor, click the "Filter by" button in the top left of the screen, and select "Prosecutor." Type in the Prosecutors name, select the user, and click "Filter."
To export your entire Summary report, click the “Export” button at the top right of the screen. An "Export" popup will appear, click on "Options" dropdown menu and select out of the options, then click "Export." This will download the summary report to your computer as a .csv file.
To customize which fields you are seeing on this report, click the “Customize” button in the top right of the screen.
This will give you a list of items that you can select to include in your report. Select them by clicking the check boxes.
List of customizable options:
- Defendant - name of the defendant on the case, entered at the time the case was created, or edited by owner of the case.
- Defense Status - will show whether defense has accessed the case or the case share has expired without defense accessing the case.
- Case ID - case ID number, entered at the time the case was created, or edited by owner.
- Prosecutor - the name of the Prosecutor, entered at the time the case was created in Guardify, or edited by the owner.
- Incident Date - the date of the incident discussed in the case, entered at the time the case was created in Guardify, or edited by owner.
- Case Status - will show whether the case is active or archived.
- Open/Closed - will show whether the case is marked open or closed.
- Files - will display how many files a case has.
- Shares - number of times each case has been shared, and can be clicked on to see a list of each person it was shared with and when.
- Created Date - the date the case was created in Guardify.
- Created By - the name of the person who originally created the case in Guardify.
- Case Type - type of case, entered at the time the case was created, or edited by owner.
- Resolution Type - case closed with resolution type.
- Jurisdiction - jurisdiction information, entered at the time the case was created, or edited by owner.
- County - county information, entered at the time the case was created, or edited by owner.
- Court Case ID - court case ID number, entered at the time the case was created, or edited by owner.
- Court Date - court date, entered at the time the case was created, or edited by owner.
- LE Agency - LE Agency name, entered at the time the case was created, or edited by owner.
- LE Case ID - Law Enforcement Case ID number, entered at the time the case was created, or edited by owner.
- CPS Agency - CPS Agency name, entered at the time the case was created, or edited by owner.
- CPS Case ID - CPS referral number or intake number, entered at the time the case was created, or edited by owner.
- Victim - the name of the victim, entered at the time the case was created in Guardify, or edited by owner.
- Interviews - will display number of CAC Interviews that were imported into the case.
- Owner - name of the current owner of the case.
- Owner Email - email address of the current owner of the case.
- Last Accessed - date of the last time the case was accessed by any user.
- Notes - a check mark will display if the case has notes.
