Guardify Live Guide


To create a Live Session select the Guardify Live tab on the left hand menu. It will take you to the “Guardify Live - Sessions” screen. Then click on the Create button on the top right of your screen.

A "Create Session" screen will appear. Fill out every field. Then click save (see down below for a brief explanation of each field). The participants will receive an email about the scheduled session.

Note: The person who will start and end the session will need to be the host of the Live Session. If you would like to associate the Live Session to an interview card, you will need to create an interview card prior to the session being recorded or after the session. If you have a manager user role, you have access to change who the host is. That permission must be turned on by the License Manager.

Reminder: The Auto-start Recording is turned on by default. If you do NOT want the recording to start automatically, uncheck the box. You can still manually start the recording within the session.


If you would like to create an interview card before the session begins, select Interviews on the left-hand menu. Then click the purple +Create button. Fill in the fields then click Create. If you know who should have access to the Live Session, you can share the interview card now. This will allow you to link the interview card to the Live Session.

Note: If you associated the interview card prior to the Live Session, you will need to share the interview card with the participants in order to add the participants to the Live Session. If the participants list does not show a full list of all the active users within the license, you will need to share the interview card with users you would like to add to the Live Session.

If you would like to create a Live Session from an interview card so that the Session will be associated to an interview card, click on the purple "Live" recording icon to create a Session.

The session will now be in My Sessions. When the purple "Join" button appears that means that the session is ready and you may enter the session at any time. To join the session, click on the purple "Join" button.

Note: If you created the Live Session days before the scheduled time, the purple button will not appear until closer to the date and time. You can edit the time by clicking the pencil icon button.

When you join a session, a new tab will open with a video preview. Once you are ready to join the session, click Join.

Note: If you do not see the Join button, you will need to minimize your screen resolution.


Once you click Join, the session will tell you that the meeting is being recorded and a pop-up will appear. Click Got It.

Note: For participants, the notification will be on top of their screen. Click OK.

After clicking Got it/OK the video camera will turn on and the microphone will be muted. Click on the microphone button towards the bottom left of your screen if you'd like to be unmuted. If you would like to hide your camera view, click on the "Stop Video" at the bottom left of the screen.

To hide any tabs that you may have open, click on the full screen arrows at the top right of your screen.

To end the session, click on End at the bottom right of the screen. It will give you the option to "End Meeting for All" or to "Leave Meeting." Select "End Meeting for All" to conclude the session. It will then take you to your Guardify Live Sessions. The purple file icon will take you to the interview card.

Note: For participants, click the "Leave: button at the bottom right of the screen to log out of the Live Session.

If an interview card was not created prior to the session, one may be created now from the Interviews tab. Once the interview card has been created, click into the Guardify Live tab and look for the Session in the My Sessions tab or in the All Sessions tab. Once you find the Session, click on the red "No associated interview" bar or the purple upload cloud. That will allow you to associate it to an interview card you have created.

A Save Recorded Session will appear. You can preview the recorded Session by clicking the purple "Preview" button. Then you can associate the Session to an interview card by clicking on the Associated Interview drop down box. You can save the recording as a streaming video or as a download-only attachment. Then click save.

Note: A Live Session will delete after 90 days if it is not moved into an interview card. If the recorded session gets saved as an attachment, it cannot be downloaded as a Guarded Playback file.

To share the session, select the purple, paper airplane Share button. Click the +Add button to add individual users, New User, or a Group. Select their permissions and click Save.

Guardify Live Icon Glossary:

  1. Session that is processing its recording
  2. Session that have a recording in an interview card
  3. A recording ready to be associated with an interview card
  4. Live Session will start within 60 minutes
  5. Live Session is about to start within 5 minutes

Creating a Live Session Glossary:

Title - Title of the Live Session

Date - Date of which the Live Session will be recorded

Start Time - The time for which you expect the session to start

End Time - The time for which you expect the session to end. If the session goes past the end time, the session will not cut off or end.

Interview Associated - The Interview Associated drop down box is to link the session to a previously made interview card. However, if you don't have an interview card to associate this session with, leave it blank. You can create an interview card at a later time or have the live session create one. If you created an interview card beforehand and linked the session to the card, once the session is done, that recording can be uploaded directly into that interview card.

Host (Interviewer) - If you are a manager user, you will have the Host (Interviewer) drop down box. Type in the email of the user who will host the session.

Participants - If that previous interview card was shared with other users, those users will be included in the participant list as well as users with the Shared CAC Custody permission enabled. If you don't link an interview card to the Live Session, the participant list will be any of your users in your Guardify account. A participant to the Live Session must have an active Guardify account in order to be invited to a session.

Start host video on join - By default, when the host opens the session, the video camera will immediately show

Start participant video on join - When the participants open the session, their video camera will immediately show

Record Session - Record Session is turned on by default.

  • "Streaming interview video" is set by default. This will save the video as a streaming video. It will appear as the gray video player in an interview card. The "Download-only attachment" will download the session as a secondary file in the interview card. It will not be a streaming video and cannot be downloaded as a Guarded Playback file.
  • The "Auto-start recording" is set by default. This will automatically start the recording when the host joins the session. If that box is not marked, the host will have to manually start the recording once in session.

Live Session Glossary:

  • Unmute/Mute: Lets you mute or unmute your microphone. It also lets you select which microphone to choose
  • Start Video/Stop Video: Lets you present your camera view or stop it from presenting. It also lets you select a camera, mirror your video, blur your background, choose a virtual background, and select video settings
  • Host Tools:
    • Lock Meeting: Locks the meeting. No one else can join
    • Enable Waiting Room: Enables the waiting room
    • Hide Profile Pictures: Hides profile pictures when a participant has their camera off
    • Share Screen: Allow participants to share their screen
    • Chat: Allow participants to chat in session
    • Rename Themselves: Allow participants to rename their profile
    • Unmute Themselves: Allow participants to unmute themselves in session
    • Start Video: Allow participants to start their video in session
    • Request Host to Start Cloud Recording: Records the session and will be sent to your email
    • Suspend Participant Activities: Stops the video, audio, screen sharing, etc. of a participant
  • Participants: Shows a list of participants
    • Mute All: Mute all participants
    • More:
      • Mute participants on entry: Participants will be muted when they enter the session
      • Enable Waiting Room: Participants will wait in a waiting until hosts allow them into the session
      • Allow participants to unmute themselves: Gives participants the access to unmute themselves
      • Allow participants to rename themselves: Gives participants the access to rename their profile
      • Lock Meeting: No one can join the session
  • Share Screen: Allow participants to share their screen one at a time or simultaneously
  • Chat: Allow participants to message in session
  • Pause/Stop/Resume Recording:
    • Pause: Pauses the recording without stopping the recording. Resuming a paused recording will continue recording on the same recording.
    • Stop: Stops the recording but the session will continue. A stopped recording will save everything recorded up to that point as a video file. Resuming after stopping a recording will create a new video record of everything that takes place upon resuming. If there are multiple stops and resumes in ones session, there will be multiple recorded videos of that session saved
  • Show Captions: Simultaneous transcription
  • Breakout Rooms: Within the session, participants can have breakout rooms. The rooms can be assigned automatically, manually, or the participants can choose a room
  • Whiteboards: A virtual whiteboard for collaboration in realtime
  • React: Instant emojis within Guardify Live
  • Settings: Settings for general, video, audio, background
  • More: Start/stop incoming video
  • End: Option to leave the meeting or end the meeting for everyone
  • Leave: Logs you out of the Live Session
