Pro: How to edit a transcript

Each video file that is uploaded to Guardify may have a transcript generated for it, which is produced using artificial intelligence. This transcript is meant to be used as a tool when reviewing the evidence, not as an official transcript. Since the accuracy of the transcript is heavily dependent on the audio quality of the video, each transcript that is generated can be edited to allow users to make changes to any inaccuracies that show up in the transcript.

The admin on each case has full access to these transcripts and also has the ability to edit them. When the case admin shares a case with other users, they can also give those users permission to view and edit those transcripts.

Transcripts for each video can be accessed by clicking on the video thumbnail in the case file, and then clicking "transcript" to the right of the video player that appears.

The transcript that loads is broken up by identifiable speakers, and includes time stamps for each segment of the transcribed video. Each segment can be edited by clicking the pencil icon to the right of the segment that you'd like to change. You can also open the transcript editor by clicking the 3-dot menu at the bottom of the transcript and selecting "edit."

Note: If the edit button is greyed out, click the "Version" drop down to the left of the edit button and make sure the draft is selected. The one labeled "original" or has the "cc" icon cannot be edited.

The transcript window will now be editable, with line-by-line editing tools that you can use to update the transcript. You can click into each line and make changes as you play through the interview.

This transcript can be edited while the video plays in the left panel.

There are a few tools available in the transcript editor at your disposal:

To change the name of the speaker on any given line, hover over the name of the speaker you would like to change, and click the pencil icon.

To split a line to sync up better in the closed captioning, move your cursor to the beginning of the word that you would like to be the first word of the next line, and then click the "split caption" icon to the right of the row. Splitting lines and line character limits only pertain to the closed captioning, and do not appear in the transcript.

To delete a line, click the trash can icon to the right of the row.

Clicking this icon allows you to switch between speakers that have been identified in the transcript

Clicking on the time stamp for a line in the transcript editor will bring the playback of the video back to that exact point in the video.

When you've finished editing your transcript, save the changes to your new draft by clicking "save" at the bottom right of the screen.

If you would like to have those changes reflected in the closed captioning of the video, click the blue "publish" button. If you do not want to save your changes, click cancel.

When an edited transcript is saved and/or published, that version of the transcript will never over ride the original transcript that was generated. It will become a new draft that can be accessed in the "version" drop down for that video.

You can delete a draft of a transcript at any time by clicking the trash can icon after selecting that version of the transcript.

You can unpublish a published transcript by selecting it in the version list, and clicking the undo icon. Once a transcript version has been unpublished, it can then be deleted.

When an updated transcript is published, that action is noted in the case history.

When a case is shared, the person sharing the case can choose to give that user access to be able to only view the published transcript by selecting  "view" from the "cc" column on the share access screen.

To give a user access to be able to view the transcript as well as edit it, select "edit" from the "cc" column on the share access screen.
