Sharing an Interview
The interview custodian has control over who may access an interview and for how long they have access.
After logging into Guardify, on the My Interviews page, find the interview you wish to share. Select Share from the 3-dot menu on the interview card OR when working within the interview, click Share near the top right of the interview screen.
Once clicking share, a share access screen will open. This is where you manage who has access to the interview. If the interview has already been shared with users, you will see existing shares listed here on this screen. If the interview has not been shared with users, you will be prompted to "Add shared access" and choose who you would like to share with. Otherwise, you can click Add in the top right corner to share the interview with others if you are not automatically prompted. When adding shared access, users are given three different options: Existing Users, New User and Group.
Existing Users: allows you to share the interview with users already in the account. New User: allows you to add or request to add a new user upon sharing. Group: allows you to share with a Group that you have predefined in My Groups. |
To complete the share, assign permissions to the user. You can do this by checking the boxes for each permission you'd like to assign for that specific share. For more information on what each share permission does, click here.
To select which video, audio, or attachment files you will be sharing with a user, check the "Files" check box, or click "edit" if files have already been selected. A "Share Interview Files" popup will appear. Select which files you'd like to share with the user and click "Confirm."
Note: The streaming video and audio files in your interview will be selected by default in the "Files" list if the "Automatically select video and audio files when sharing interviews" permission is toggled on in the Account Settings by the License Manager.
If you would like to share all of the currently uploaded files as well as any additional files that get uploaded to the interview after it has been shared with this user, you can toggle on the "share all current and future attachments" permission at the top of your list of files, then click "Confirm." Now any future attachments will automatically be shared with that user.
Shares that have expired can be viewed by clicking the "Show Expired" toggle at the top right.
Select "Save" when you are ready to share the interview. This will launch an email to the added user(s) notifying them that a new interview has been shared with them.
Automatically Select Video and Audio Files When Sharing Interviews Settings (for License Managers)
The License Manager of the account can choose the default share for video and audio files.
These settings can be accessed by clicking the 3-dot menu at the top right of the Guardify screen, and then selecting "Account Settings."
In the account settings, by default the "Automatically select video and audio files when sharing interviews" is toggled on. This will allow you to share the video and audio file without clicking on the files in the share table.
To disable this setting, click on the toggle to turn it off. Once an interview card gets shared, the video and audio file will not be selected by default. The user will now have to manually select which video and/or audio file will be shared.
